Associate Dean for Academic Affairs

The duties of the **Associate Dean for Academic Affairs** represent one of the main pillars supporting the Dean’s Office of the College of Veterinary Medicine, serving as the central link responsible for overseeing conferences, seminars, workshops, and scientific activities within the college. The office is also tasked with monitoring the affairs of undergraduate and postgraduate students, ensuring their discipline throughout their academic studies and after graduation. Among the key responsibilities of the Office of the Associate Dean for Academic Affairs are: responding to official correspondence; monitoring student attendance, absences, and adherence to the official dress code; reviewing the minutes of student disciplinary committees; coordinating with academic departments in preparing examination schedules; and ensuring the implementation of regulations and guidelines issued by the Ministry of Higher Education and Scientific Research, in addition to the effective instructions of the Presidency of the University of Tikrit.

Duties and Authorities of the Associate Dean for Academic Affairs:

  1. Organizing final examination schedules in coordination with the scientific departments of the college.
  2. Preparing weekly lecture timetables in collaboration with the departments, based on classroom availability, to ensure the smooth conduct of postgraduate studies.
  3. Supervising the weekly lecture record to guarantee coverage of all required hours for each subject according to applicable regulations.
  4. Monitoring the attendance and discipline of postgraduate students in line with existing rules and regulations.
  5. Reviewing postgraduate admission applications received from the academic departments and standardizing them.
  6. Reviewing transfer cases of postgraduate students from other universities to the college and referring them to the relevant departments, while coordinating with the concerned authorities.
  7. Following up on postgraduate students regarding study timelines and their full-time commitment in accordance with regulations.
  8. Participating in postgraduate committee meetings in the college when invited, to discuss postgraduate matters according to departmental specialization, and ensuring smooth performance. Preparing a discussion statement for a student one week before the defense date, arranging committee minutes, evaluating them, and submitting them to the College Council.
  9. Supervising the preparation of annual statistics related to postgraduate studies in the college.
  10. Delivering and receiving examination booklets in compliance with approved regulations.
  11. Announcing examination results after their approval by the postgraduate committees in the scientific departments.
  12. Providing scientific departments with student grades using a designated template for approval by the postgraduate committees.
  13. Coordinating with departments regarding submission of examination questions for the first and second rounds, in accordance with the procedures applied in undergraduate studies.
  14. Communicating with official directorates on all matters related to the academic record of postgraduate students from enrollment to graduation.
  15. Communicating with the University Presidency / Postgraduate Studies Department regarding all matters related to postgraduate students’ academic records.
  16. Corresponding with official authorities to obtain approvals regarding external participants, following nomination by the relevant academic department.
  17. Signing annual salary increment and promotion forms for postgraduate studies staff in his capacity as the senior authority.
